We currently have a great assignment for a Facilities Coordinator with one of our top clients. As a Facilities Coordinator, you will be supporting our client, one of the largest service providers to businesses and individuals in transition.

Job Responsibilities

The Facilities Coordinator will be responsible for overseeing minor repairs at facilities and soliciting bids for all major repairs, as directed. The Facilities Coordinator will be the primary point of contact for a national HVAC vendor, shall maintain a database of all installed HVAC equipment and applicable warranty information, and is responsible for:

  • Contacting national suppliers of materials and initiating placement of orders
  • Assisting in maintaining cost history on all construction as well as following up on any warranty issues related to construction or equipment purchased
  • Functioning as Owner’s Representative for minor repairs on company facilities
  • Managing preventive maintenance program (specifically HVAC and roofs) as directed for leased and owed facilities
  • Maintaining database of Landlord maintenance responsibilities on lease properties to facilitate determining who has repair responsibility
  • Receiving and processing requests for carpet and paint, ensuring correct quantities are specified and placing order after confirmation received from applicable party
  • Soliciting bids for signage, working with applicable real estate leader, obtaining Landlord approval and making recommendation to Director for signage order
  • Ensuring bills received from outside vendors and suppliers are correct and processing them for payment
  • Maintaining communication with operations and other corporate departments on all aspects of repair projects including schedules, milestone action dates and costs
  • Maintaining a database of facility construction information and actual historical costs

Specific qualifications for the Facilities Coordinator role include:

  • B.S. Degree or higher in facility management, engineering, real estate or similar applicable discipline
  • 2 years minimum of facilities management experience
  • Basic understanding of HVAC requirements calculations needed for facilities based on size or volume of conditioned space
  • Proficiency with MS Office Suite products
  • Must have valid driver’s license and reliable transportation
