Job Description

We currently have great assignments for a Pre-construction Coordinator to support our client, a well-established commercial building contractor located in the Northern Virginia area. 

Job Responsibilities

The Pre-Construction Coordinator is responsible for performing a variety of tasks in support of the project team for pre-construction services functions in the areas of estimating, marketing, subcontractor relations and successful project completion.  This position is also responsible for providing a wide variety of administrative, estimating, project management support and related tasks to include performing duties directed by the Team Leader.

The other responsibilities of the Pre-Construction Coordinator include:  

  • Receiving and logging in all bid opportunities
  • Developing Project Qualification Questionnaire for distribution to leadership team for review and comment
  • Assigning bid job numbers through Timberline and the set-up of bid files
  • Performing initial bid job setup on ISqFt through selection of applicable trades
  • Coordinating, ordering and arranging for the distribution of bid drawings through the reprographics company
  • Uploading TIF drawings and PDF specs, as applicable, to ISqFt
  • Assisting with making follow-up phone calls to solicited bidders to verify status
  • File Management of Awarded and Lost’s bid files within estimating drive
  • Assisting in preparing all proposal-related documents in preparation for bid day
  • Obtaining all insurance and bond documents as required by the bid documents prior to bid day
  • Coordinating flysheets as required for bid packages with the Director of Marketing
  • Assisting in the prequalification of subcontractors and tracking subcontractor prequalification metrics
  • Providing management support and maintenance of the subcontractor / vendor database
  • Maintaining FedEx and UPS shipping databases
  • Maintaining electronic drawings file with Reprographics Company, ISqFt and estimating files
  • Maintaining proposal file (electronic PDF and paper copies) management and bid map
  • Copying, scanning, creating PDF discs of specification books and other PDF-type documents for distribution to subcontractors
  • Finalizing of proposals, editing for spelling, grammar, numerical errors and making final distribution
  • Tracking reprographics costs associated with each bid
  • Preforming follow-up phone calls to subcontractors on bid day as directed by lead estimator for clarifications
  • Processing bid RFI questions and subsequent answers and distributing answers, clarifications, addenda, etc. to all subcontractor bidders
  • Assisting Bid Captain with developing and distributing Instructions to Bidders for subcontractor bidders
  • Tracking subcontractor responsiveness in ISqFt
  • Assisting DPS in distributing subcontractor grading reports
  • Supporting changes and training for preconstruction forms, procedures and software as directed and updating flysheets as projects are completed to keep current
  • Upon award of project, setting up draft of contract when required
  • Assisting lead estimator and project team as applicable to develop subcontractor scopes of work
  • Distributing scopes to subcontractors and obtaining subcontractor sign-off
  • Assisting project teams as necessary in drafting subcontracts
  • Promoting subcontractor relations with correspondence and programs
  • Assisting in the purchasing and monitoring of pre-construction department supplies and equipment
  • Performing duties as a relief Receptionist and representing the company in a positive and professional manner
Job Requirements

Specific qualifications for the Project Coordinator role include:

  • Minimum of Bachelor’s degree in construction-related field preferred
  • Minimum of 3-5 years prior work experience in commercial construction required
  • Knowledge of construction terminology and the standard 16 division CSI codes
  • Experience handling multiple construction projects at one time
  • Proficient in Microsoft Office Suite applications (Word, Excel, Project and Outlook) and Timberline
  • Knowledge of construction drawings, means & methods and procedures
  • The ability to work collectively and independently on assigned tasks as well as to accept direction on given assignments, handle multi-tasking, give attention to details, work under pressure and meet critical deadlines
